TLC Testing Polices
Welcome to the TLC Testing Center!
We are committed to providing a secure, accessible, and equitable testing environment for our students and the community.
Please review the following policies for students and faculty who wish to use the Testing Center.
Students
Appointments and Scheduling
- Students must schedule an appointment prior to arriving at the Testing Center.
- Students without an appointment may be accommodated on a space-available basis for the next available opening.
⚠️ Important: The last available appointment time is always 2 hours before the Testing Center closes. Late students will not be permitted to begin an exam within 30 minutes of the Testing Center’s closing time.
Identification Requirements
- A valid photo identification must be presented to take an exam.
- IDs must be original (not a photocopy, photo, or digital*) and unexpired (if there is no expiration date on an ID, it is valid).
- IDs must be issued by a government or educational institution. Acceptable IDs include:
- Passport
- Driver’s license or State ID
- Military ID
- College of the Canyons student ID
- High school or outside institution student ID
- Canyons M / MyCanyons digital student ID *(this is the only form of digital ID that will be accepted)
⚠️ Important: Students without valid identification will not be allowed to test.
Testing Procedures
- Students are required to review and confirm their understanding of all TLC Testing Policies prior to beginning their exam.
- All students must turn in their exams 5 minutes before the testing center closes; students who arrive late or schedule late appointments that result in them not receiving their full time allowed will be notified of this prior to starting their exam. Students can still choose to take their exam after they are notified of the time restriction.
- Students who request to take an unscheduled restroom break must temporarily turn in their exam to the Testing staff and not access their belongings during their break. Break times will be recorded and reported to the instructor.
TLC Testing Room Policies
- Electronics: All electronic devices (including cell phones, smart watches, and radios) must be powered off and securely stored unless authorized by the instructor.
- Materials: Unauthorized materials must be stored or locked away during testing.
- Unscheduled Breaks: Any unscheduled breaks, including restroom breaks, will be reported to the instructor.
- Food and Drinks: No food or drinks are allowed in the testing room (except resealable water bottles).
- Policy Violations: Students found violating Testing Center policies will be reported to their instructor for review.
Academic Integrity and Unauthorized Materials
- Suspected incidents of misconduct will be documented and reported following institutional procedures. Examples of misconduct include:
- Using unauthorized materials (not listed on the Proctor Request Form) during an exam
- Accessing unauthorized websites or phones during an exam
Exam Request Form Modifications
- Students are responsible for informing their instructor of any approved academic accommodations that are needed for testing. Faculty are responsible for including this information on the Exam Request Form.
- Testing Center staff are not authorized to modify exam instructions, time limits, deadlines, or allowed materials without explicit approval from the instructor via written or verbal confirmation (email, phone call, or in-person). Academic accommodation requests that are not already included on the Exam Request Form must be verified by the instructor.
Finals Week Testing
- During Finals Week, proctoring services for outside universities and PearsonVue testing are suspended.
- The Testing Center will operate at maximum capacity to prioritize service to College of the Canyons students; therefore, LTLC-157 on the Valencia campus will be reserved for testing.
⚠️ Important: Students are encouraged to schedule appointments early for Finals Week, as space is limited and demand is high.
Communication and Privacy (FERPA Compliance)
- Student privacy is protected in compliance with:
- Family Educational Rights and Privacy Act (FERPA) — U.S. Public Law 93-380 (20 U.S.C. § 1232g; 34 CFR Part 99)
- California Education Code §§ 76200–76246
Faculty
Eligibility to Use the Testing Center
- Students currently enrolled at College of the Canyons.
- The Testing Center is designed to assist students with academic accommodations, extended exam deadlines, additional exam attempts, lack of access to online proctoring software (Honorlock), and/or lack of access to a suitable online proctoring environment. Faculty may not send entire classes to the Testing Center in lieu of faculty-proctored classroom testing or district-approved online proctoring software (Honorlock).
⚠️ Important: For full-class proctoring assistance due to an emergency or special circumstance, faculty must request approval from the TLC Director and allow exams to be proctored over several days.
Exam Request Form Submissions
- Faculty must submit an Exam Request Form electronically before any student can take an exam at the Testing Center.
- Exam copies may be dropped off in person if preferred; however, a digital Exam Request Form is still required.
⚠️ Important: Faculty are responsible for adding all student accommodations to the Exam Request Form instructions. The Testing staff will not provide accommodations that are not included on the Form by the faculty.
High-Volume Exam Printing
- If multiple students are taking the same paper test for the same class, the Testing Center can print up to five (5) black-and-white exam copies per exam. Requests exceeding 5 copies must be submitted to Reprographics, delivered to the TLC mailbox, or dropped off at the Testing Center.
- Any exams requiring color printing must also be submitted to Reprographics, delivered to the TLC mailbox, or dropped off at the Testing Center.
- Faculty should indicate in the Exam Request Form if printed exams must be retrieved from Reprographics or the Mailroom with at least 24 hours advance notice.
Exam Return Procedures
- Completed exams will be returned through one of the following methods:
- Faculty pickup at the Valencia or Canyon Country TLC locations during regular operating hours
- Delivery to the faculty’s campus mailbox via the Mailroom (completed exams are delivered the following business day by 12:00 p.m.)
- Electronic submission through Canvas (for online exams only, when applicable)
- Any exams that are not picked up by the end of the last business day of the semester will be sent to the faculty’s mailbox.
- Faculty may designate a proxy to pick up completed exams. Proxies must provide photo identification and be approved in advance.
- The Testing Center does not scan, email, or electronically transmit completed COC student exams.
